Taming Email Chaos: Tips for Navigating Outlook on the Web and New Outlook

Are you drowning in a sea of emails, struggling to keep up with your overflowing inbox? You’re not alone. Many users find themselves grappling with the complexities of managing emails efficiently.  


Others have spent years learning what is now referred to as Classic Outlook and are having a hard time adjusting to New Outlook.


In this article, we’ll explore a few practical features you can use to streamline your email experience, boost productivity, and regain control over your digital communication. 


First a bit of background:


Microsoft's One Outlook Strategy

In 2020, news emerged that Microsoft was looking to consolidate all its mail offerings under "One Outlook," based on Outlook on the Web.


Since New Outlook is based on Outlook on the Web, you can use many of the same tips to manage mail using either application.  As we walk through our tips, we will note where there is a difference.


Let’s dive in!


Change Keyboard Shortcuts

If you already use keyboard shortcuts for Gmail, Yahoo!, or Classic Outlook, instead of learning another set of shortcuts, you can change your keyboard shortcuts in Outlook on the Web to match the ones you already know.


If you are using New Outlook, your options are limited to Outlook for Windows and Outlook on the Web.


Forward Email as an Attachment

When forwarding a message to another recipient, you may want to send it as an attachment instead of inline text.  It is not readily apparent how to do this in Outlook on the Web. 


Take these steps:

  1. Click the ellipsis to go to More Actions.

  2. Select Other reply actions.

  3. Select Forward as Attachment.


You can now continue composing your message as planned.


Quickly Schedule Tasks Using My Day

You can add tasks directly to your calendar from the Tasks view of the My Day pane.  This feature works best with Day and Week views.  If you are on the Month view, the task will be added as an All-Day Event.

Use the @ Symbol

When composing a message, use the @ symbol to mention contacts from your address book to quickly add them as addressees.


Use Undo Send

If you have ever hit send on a message and immediately remembered something you forgot or saw a typo, this tip is for you!  With Outlook on the Web and New Outlook, you can cancel a message for up to 10 seconds after you hit the send button.


Here's how:

  1. Go to Settings

  2. Go to Mail

  3. Go to Compose and Reply

  4. Scroll to towards the bottom and update Undo Send

  5. Click Save

  6. Close Settings


It is not a generous as the Classic Outlook rule that allows you defer deliver for minutes but is long enough for us to catch a lot of our mistakes!
