Unlock Hidden Productivity: Don't Overlook These Classic Outlook Features!

Feature 1 - Journal: Your Digital Diary

The Journal feature in Outlook is like having a personal assistant. Use it to track your daily activities, tasks, and reflections. Whether you’re jotting down meeting notes, recording project updates, or simply capturing your thoughts, the Journal keeps everything organized.


To find journal, you must do a little digging because there is not a button or link on the Navigation Pane to take you directly to Journal items, but you can easily get to the Outlook Journal by using the keyboard shortcut CTRL+8.


Once you are on the Journal view:

  1. Click the Home tab.

  2. In the New group, click Journal Entry.

  3. In the Subject box, type a description.

  4. In the Entry type box, click the type of journal entry.

  5. Complete the any other relevant optional fields.

  6. You can link a contact by accessing Properties using the Backstage View.

  7. Once you’re done, click Save & Close.


Feature 2 - Notes: Brainpower at Your Fingertips

Say goodbye to physical sticky notes and scattered ideas! With Notes, you can create and manage digital notes right within Outlook. Whether it’s a brilliant idea during a brainstorming session or a reminder for your next presentation, Notes help to keep your thoughts in one place.


Feature 3 - Posts: Takes Notes Seamlessly

Do you send yourself emails when you need to remember something? 


Posts allow you to save information directly to your inbox.  Record project notes, and record insights—all without leaving your inbox.


Here's how:

  1. In the mail view, go to the Home tab.

  2. Click New Items, then expand More Items.

  3. Select Post in This Folder.

  4. Add a Subject.

  5. Add additional details.

  6. Click Post to save.


Feature 4 - RSS Feeds: Stay Informed

Don’t miss out on industry news, trends, and updates. RSS Feeds let you subscribe to your favorite blogs, news sites, and podcasts right from Outlook. Stay informed without cluttering your inbox.


Feature 5 - Search Folders: Tame the Email Jungle

Is your inbox a chaotic mess? Search Folders to the rescue! Create custom filters to organize emails based on criteria like sender, subject, or keywords. Say goodbye to endless scrolling and hello to efficient email management.
